Receivables and payables
Record what customers owe and what you owe, with due dates, and link bills to job costs you already recorded.
Who: people granted receivables or payables access by the owner. Viewing, recording and reversing are separate grants.
1. Receivables → New receivable: customer, optional job, currency, amount and one or more installments with due dates. 2. Payables → New payable: supplier or a one-off payee, a bill or an expense, optional job and cost center, and installments. A supplier invoice isn't required.
Status comes from recorded receipts or payments, never typed in: Open, Partially paid, Paid, Overdue (past the due date in your company's time zone) or Void. Amount and installments can't change once a receipt, payment or job cost link exists.
Corrections: use Edit before anything is recorded, or Void with a reason. Voided items stay in history; a receivable with receipts, or a payable with payments or job cost links, must have those reversed or unlinked first. Duplicate copies dates and amounts but never receipts, payments or history.
Job costs vs payables: recording a job cost never creates a payable, and saving a payable never adds a job cost. If a bill is for a cost already recorded on the job, open the payable and choose Link to job cost (same job and currency, never more than the cost or the bill). A payable is something owed, not a payment.
Billing documents can be issued from a receivable with their own number. They are commercial documents, not official tax invoices. Recurring expenses create unpaid payables only when you generate them, up to 60 days ahead; editing a template never changes bills already generated.
Verify: the list totals cover every matching record, not just the visible page, per currency. On the job page, Billing and receipts and Bills and payments show amounts only to people with access, and never change the job's price, costs or profit.
