Turn on Finance and understand its permissions
Activate Managerial Finance, grant access person by person and keep it separate from job costs.
What it is for: Managerial Finance tracks what customers owe you, what you owe, recorded cash and managerial results for your own decisions. It is optional and off until someone turns it on. It is not certified accounting, tax filing or official invoicing software.
1. Open Finance. 2. If it is off, choose Turn on Financial Management. Only the company owner, or someone the owner granted finance settings, can do this. 3. Complete Setup: Chart of accounts, Cost centers, Accounts (cash and bank accounts with their opening balance and date) and Payment methods.
4. In Permissions, the owner grants each capability person by person, such as viewing receivables or payables, recording receipts or payments, reversing, importing statements, reconciling, viewing or posting recognition, and exporting. Only the owner can change these.
Admins get no finance access automatically. Until the owner grants it, admins and members don't see Finance at all, and the owner always holds every capability.
Finance permissions are separate from Can manage job costs (granted in Account → Team). One never grants the other: a finance user can't change job costs, and a job-cost manager sees no finance data.
Turning Finance off hides it and removes no records; turning it back on shows them again. Estimates, proposals and jobs work the same whether Finance is on or off.
Verify: the Finance navigation shows only the sections each person was granted. Anyone without access sees a message asking the owner for it.
