Jobs & costs
How do I post employee hours as job costs?
Review recorded employee hours and explicitly turn them into labor job costs.
When to use: after employee hours are recorded in field logs and you want them in the job's actual costs. You need Can manage job costs: the owner has it and can grant it in Account → Team. Recording logs or hours never grants it.
1. Open the job → Field operations → Employee hours to job costs. Each entry shows Posted or Not posted. 2. Select the hours, or Select all not posted. 3. Check Hourly cost; it is suggested from your company's default loaded labor rate in the job's currency, otherwise enter it.
4. Choose Review cost and check worker, date, hours, cost and Total to post. 5. Tick the confirmation and choose Post costs. Each entry becomes one labor actual cost dated on the log date.
If the job already has manually recorded labor costs on the same dates, RHACOVA warns that the hours may already be counted and asks you to confirm they are not duplicates.
Verify: the entries change to Posted and the costs appear in Actual costs, marked as coming from posted field hours. Hours already posted can't be posted again, and posted hours are locked.
To correct, use Release posting with a reason: the cost is removed, the hours return to Not posted and the posting stays in history. A cost linked in Financial Management must be released there first.
What doesn't happen automatically: recording hours creates no cost; subcontractor hours are never posted; posting creates no account payable, payroll record or payment. Cancelled jobs, or jobs without a currency, accept no postings.
Labor overview shows labor-category actual costs only where you may read them, without pricing unconfirmed hours. Planned-versus-recorded hours is available only when every baseline labor line is in hours; otherwise the plan in hours is unavailable. Check same-date manual labor costs before confirming to avoid double counting.
